Sponsorship Policies & Guidelines

Please review the general policies below as well as the other topics highlighted under "Policies and Guidelines Home" in the navigation menu to help you prepare for MMHC 2026.

 

Sponsor, Exhibitor, & Book Fair General Policies

  1. Premium Exhibitor tables must be staffed at all times.
  2. Sponsor tables are encouraged to be staffed during peak times.
  3. Unstaffed or empty Exhibitor tables may be reassigned or removed.
  4. MMHC does not provide table coverage or volunteers.
  5. Tables may not be combined or expanded beyond the assigned space.
  6. Each 4-foot table includes a minimum of one (1) foot of clearance on both sides for safety and traffic flow.
  7. One table per organization unless Visionary.
  8. Unused tables are non-refundable.
  9. Food and beverage sales are prohibited by venue policy.
  10. Lobby A sales are permitted for Leader and Visionary sponsors only.
  11. Champion sales: Must purchase Premium Exhibitor Package B. You will retain Champion benefits, but may place a table in Lobby B only.
  12. All Premium Exhibitor sales must take place in Lobby B.
  13. Community (Equity) Exhibitor sales must take place during designated hours and in Grand Ballrooms.
  14. Full payment is due within 14 days of registration to secure placement.

Bookfair Author Responsibility

  1. MMHC will not monitor displays, distribute books, manage sales, track authors on-site, or store inventory.
  2. Authors are fully responsible for sale fulfillment. One small box may be placed in the public coat room at the author's own risk.
